Venue Hire Administrator
We are currently seeking an enthusiastic and motivated Venue Hire Administrator to manage all facets of function hire from the initial enquiry phase to delivery. You will enjoy working with people and have highly developed communication skills. Well developed administrative skills are also essential for this position.

Position Description
Venue Hire Administrator

Objectives
The role of Venue Administrator exists to provide customers with excellence in service in the hiring of urbanlife’s facilities to further enhance the custom and profile of urbanlife.
Reporting Relationship
The position reports to the Venue and Administration Manager via quarterly coaching meetings. The position is subject to a 3 month probation and 12 month review.
Hours & conditions
This position is part time with remuneration being on a per-booking basis. Out of hours work is anticipated. The incumbent will be provided with a dedicated phone. A company vehicle will be provided for collection of catering supplies.
Location
The position is based at urbanlife’s offices in Ringwood, with flexible working arrangements by negotiation.
Key Responsibilities
- Liaison with existing and potential customers
- Quoting on function packages
- Costing, ordering and collecting catering packages
- Managing staffing levels for venue bookings
- Facilitation of twice yearly team meetings to ensure uniform standards
- Performance management of function staff
- Maintaining booking Calenders
- Initiating and maintaining external networks to promote the venue
- Provision of timely feedback and invoicing requirements to Admin Manager

Skills and Experience
- High level customer service skills
- Ability to manage numerous tasks concurrently
- High level sills in written communication
- Ability to accurately cost packages and analyse profit margins
- Ability to priorities and self direct own work load
- Ability to work co-operatively in a team
- Ability to oversee and coach others
- Computer literacy, specifically Excel & Outlook
- Excellent interpersonal skills, including the ability to relate sensitively and professionally to a wide range of people
